Do you meet the requirements for this job?
Dental Scheduler
Compensation: $17.89/hour
Responsibilities include, but are not limited to, scheduling new and returning client appointments, operating telephone queue, entering consumers into the EHR system, coordinate scheduling referrals from other CHN services, collecting, processing insurance information and exceptional communication to all other team members as needed all while providing great customer service.
*This is a full-time, benefit eligible position scheduled Monday-Friday 8:30 am to 5:30 pm. (with a 1 hour lunch)
ESSENTIAL FUNCTIONS:
• Answer high volume of incoming calls from patients wanting to schedule a new appointment or reschedule an existing appointment
• Schedule for multiple dental providers in several locations
• Manage and maintain voicemail box with the expectation voicemails are returned within the hour, no later than same business day
• Determine type of service caller is seeking, triaging oral health care need and the urgency of scheduling, seeking consultation from the clinical lead as needed
• Provide excellent customer service
• Ability to manage multiple applications using dual monitors
• Understanding of Microsoft Teams and Outlook
• Verify address, phone number, and potential need for updating annual registration paperwork
• Collect full and complete insurance information from the caller
• Manage patient appointments, confirm appointments, and alert patients if they need to bring any information to appointment (co-pays, past due balances, paperwork for sliding fee scale)
• Coordinate and schedule an interpreter if needed with follow-up notification to all appropriate staff
• Route all private insurance information to the appropriate clinic staff for verification indicating the date of the appointment
• Verify Medicaid insurance coverage for dental services paying attention to 3rd party payers while on the phone with caller
• Enter and run verification of Medicaid insurance in the electronic medical record if the appointment is scheduled within 48 hrs
• Verify service history report to confirm patient is eligible for routine check-up
• Be knowledgeable of the sliding fee schedule and acceptable proof of income
• Accurately inform callers without insurance or with limited Medicaid information on the slide and what is required for acceptable proof of income
• Be able to estimate dental fees for copay and extractions. Repeating the phrase "this is only an estimate and may change based upon proof of income that is provided" is required during call
• Schedule the dental appointment with the dentist of record
• Inform parents or legal guardian that they must be present at the first appointment or if annual registration is due
• Work reports in conjunction with director to ensure schedulers are full while focusing on patients completing treatment
• Follow-up on patients who missed their appointment the previous day to reschedule
• Monitor schedules daily for accuracy, cancellations, and back fill
• Maintain current information on dental providers schedules
• Work closely with clinical lead and front desk staff as needed
• Attend weekly staff meetings as required
• Conducts self in accordance with Compass Health Network’s policies
• Maintains strictest confidentiality; adheres to all HIPAA guidelines/regulations
• Other duties as assigned
