Compensation: $13.50/hourly

Description

The Children and Family Services Office Assistant is responsible for coordination of paperwork, billing and administrative support for St. Charles Partnership with Families children’s program.

Core Responsibilities:

  • Intake processing:  MyAvatar data entry for referrals, MHS intakes, transfers and annuals.
  • Proficient in the use of two different software programs for purpose of investigating and correcting billing issues.
  • Verify insurance information and update if necessary.
  • Maintain database for various reports
  • Enter all Status Reports in CIMOR
  • Update diagnosis in Psych with DLS-20 scores.
  • Enter Prevention billing into MyAvatar
  • Tracking and monitoring survey tickler file for reports submitted to CCRB.
  • Enter all Prevention satisfactions surveys on spreadsheet for Outcome Reports.
  • Create and tally PWF satisfactions surveys submitted yearly to teachers, parents and customers.
  • Report the appropriate count of the PWF Customer Satisfaction Surveys to Quality Management on a monthly basis.
  • Special Projects

Other Responsibilities:

  • Handling of faxes: send outgoing faxes and distribution of incoming faxes.
  • Attend all training as required by Compass Health, Accreditors and Funders.
  • Insure confidentiality of client records; adheres to all HIPAA guidelines/regulations.

Supervision

The Children and Family Services Office Assistant receives supervision from the Children and Family Services Office Manager. 

 

Job Requirements

Qualifications

  • High School graduate or equivalent
  • 2 years office assistant experience.
  • Working knowledge of windows-based software. Microsoft Office, Word, Excel, Power Point and Publisher.
  • Strong computer skills and detail-oriented.
  • Ability to handle multiple tasks efficiently.
  • Ability to work autonomously.
