Description

The Health Information Management Specialist reviews Health Information Management Department performance, makes changes as needed to improve services, simplifies work flow, and assures compliance with regulatory requirements. Keeps the Manager, Health Information Management informed of department activities and needs. Job responsibilities include:

Core Responsibilities:
• Maintain the Behavioral Health persons’ served medical records at a high level of quality in conformance with the standards established by the agency administration, state, and federal regulatory agencies and accrediting agencies (i.e. CARF).
• Performs duties involving record filing and retrieval; chart creation, closure, and retention; including the following:
- Prepares charts for thinning annually.
- Prepares inactive charts to Closed Storage.
- Creates Behavioral Clinic charts from new persons’ served by Crider Health Center and charts transferred from other programs or offices to Behavioral Clinic.
- Files records and charts into medical records by approved standards and protocols.
- Follows proper closure of chart protocols to transition charts to storage.
- Requests charts from other programs for Behavioral Clinic staff.
• Maintain Check out/in log for medical records requested by staff and transferring into Behavioral Clinic for temporary storage.
• Assembles, analyzes and maintains the medical records. This includes daily and ongoing record checks on charts (Qualitative and Quantitative Analysis).
• Transfer medical records to other offices or programs by approved transfer methods.
• Prepares charts needed for Behavioral Clinic staff daily, including the following:
- Pulls charts for appointments and as requested.
- Requests charts from other programs.
- Distribute daily schedules and charts to appropriate staff offices.
• Performs correspondence duties including requesting for outside records, releasing records upon proper verification, and routine clerical duties as needed. Must be knowledgeable of all state and federal regulations for release of information. Follows facility policy regarding client confidentiality and release of information.

Other Responsibilities:
• Provides information and undertakes special project assignments or additional responsibilities as needed.
• Regular attendance (except as excused).
• All other duties as assigned by supervisor.
• Attend all training as required by Crider Health Center, Creditors and Funders.

 

 

Job Requirements

Qualifications

• Minimum, High School diploma or equivalent as recognized by the US Department of Education.
• Preferred, Associate Degree in Health Information Technology or related field or equivalent experience.
• Preferred, 2 years experience in Health Information Management Department.
• Ability to maintain confidentiality.
• Working knowledge of Microsoft Office Suite.
